This Privacy Policy explains how Helix AI ("Helix AI", "we", "us") collects, uses, shares, and protects information when you visit helixai.agency (the "Site"), book a call or submit a form on the Site, or engage us as a client. By using the Site you agree to the practices described here.
1. Who we are
Helix AI is an AI transformation partner for companies of 50 to 300 people, based in India. We find where AI actually pays, get your team using the tools you already own, build only what those tools can't do, and run it with you for the year, starting with a diagnostic.
2. Information we collect
2.1 Information you provide
When you book a diagnostic or fit call, submit a form on the Site, or contact us directly, we collect the information you enter: typically your name, email address, and website URL. Lead form submissions are processed by our hosting provider (Vercel), stored in our database (Neon), and trigger an internal notification (Telegram) so we can respond quickly. If you request the Operating Brain guide, the email address you enter is processed by Kit (ConvertKit), our email delivery provider, to send you the guide and related updates. Call scheduling is handled by Cal.com; details you enter when booking are processed by Cal.com to create the meeting.
2.2 Information collected automatically
When you visit the Site, our hosting and analytics providers may collect standard log data such as IP address, browser type, device type, referring URL, pages viewed, and timestamps. This is used for security, performance, and aggregate traffic analysis.
2.3 Client engagement data
If you engage Helix AI to set up, build, or operate AI systems for your company, you may grant us access to third-party platforms you use (e.g. Microsoft 365, Google Workspace, ChatGPT, Claude, and your CRM). The scope of access, what we read, and what we write back are governed by a separate written services agreement with you. We only access what is necessary to deliver the engagement.
3. How we use information
- To respond to your inquiry or run your diagnostic.
- To send follow-up communication relevant to your inquiry. You can opt out at any time.
- To deliver, operate, monitor, and improve the services we provide to clients.
- To detect, prevent, and respond to fraud, abuse, security, or technical issues.
- To comply with legal obligations.
We do not use your information to train public AI models. We do not sell your personal information.
4. Legal bases (for visitors in the EEA / UK)
We process personal information on the following legal bases: (a) your consent, when you submit a form or opt in to communications; (b) performance of a contract, when we deliver services you have engaged us to provide; (c) legitimate interests, in operating, securing, and improving the Site; and (d) legal obligation, where applicable.
5. Cookies and similar technologies
The Site uses a small number of cookies and local storage entries strictly for functionality and aggregate analytics. We do not use third-party advertising cookies on this domain by default. If a marketing pixel is enabled on a specific landing page, it will be disclosed in the page source and respect your browser's tracking-protection settings.
6. Data retention
We keep lead and inquiry data for as long as it is useful for the purpose it was collected, and as required for our legal and accounting obligations. You can request earlier deletion at any time (see Section 9). Client engagement data is retained per the terms of your services agreement.
7. Security
We use industry-standard safeguards (including TLS in transit, access controls, and encrypted secrets) to protect information we hold. No system is perfectly secure; if you believe your data has been compromised, please email jay@helixai.agency.
8. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your information.
- Object to or restrict certain processing.
- Withdraw consent at any time (without affecting prior lawful processing).
- Lodge a complaint with your local data protection authority.

9. International transfers
Helix AI is based in India and uses service providers that may store and process data in the United States, the European Union, and other regions. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.
10. Children
The Site is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us and we will delete it.
11. Third-party links
The Site may link to external sites (e.g. LinkedIn, Twitter/X, scheduling tools). Their privacy practices are governed by their own policies; we are not responsible for them.
12. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be highlighted on the Site or communicated to active clients directly.
